Half Your CRM Fields Are Probably Empty
CRM fields pile up over years of process changes and one-off requests, and most teams never remove the ones that stopped being used. An unused field isn't just clutter, it quietly breaks filters and reports downstream. A short audit of fill rates is usually enough to find and fix the worst of it.
We opened a client's Lead module last month just to look around. Out of 192 fields, 100 had never once been filled in.
Nobody had set out to build a bloated form. Fields just got added over the years and never got removed, so reps started skipping half of them without even noticing.
Why this happens
Every sales process change, new rep, or one-off request tends to leave a field behind in Zoho CRM. On its own, none of these additions seems like a problem. Over a few years, they add up into a form nobody wants to fill out.
An unused field isn't just clutter. It quietly breaks filters, skews reports, and makes reps guess which fields actually matter on a form that's grown too long to read.
How to fix it
- Go to Setup > Customization > Modules and Fields > Leads in Zoho CRM.
- Pull a report or list view that groups Leads by whether key fields are filled in, so you can see fill rates instead of guessing.
- For any field with close to zero usage, check whether it's tied to a workflow rule, validation, or report before removing it. If it isn't, mark it for deletion.
- Move rarely used but still necessary fields into a secondary section of the layout, and keep the main view limited to what reps actually touch day to day.
- Put a light rule in place going forward: before anyone adds a new field, ask what report or workflow will actually use it.
